Privacy at SmartShift

How SmartShift handles personal information

This notice explains what SmartShift processes when you browse the site, send an email, or deliberately subscribe to a newsletter.

1. Scope and contact

This notice applies to smartshifthq.com. For privacy questions, access/correction requests, or deletion requests, email [email protected]. Do not send identity documents or other sensitive records unless SmartShift first confirms they are necessary and provides a safe method.

2. Browsing, security, and analytics

Cloudflare and the site host process ordinary technical request data needed to deliver and protect the website. Depending on the request and security event, this may include an IP address, timestamp, requested URL, browser/user-agent information, and security signals. These systems are used for delivery, abuse prevention, troubleshooting, and service integrity—not advertising profiles.

SmartShift uses self-hosted Koko Analytics in cookieless mode for aggregate pageviews, daily visitors, pages, and referrers. Koko’s cookieless method derives a one-way temporary value from the IP address, user agent, and a daily rotating secret. SmartShift does not retain the raw IP address or user agent in Koko’s analytics tables, and the temporary fingerprint material is rotated and cleared daily.

Day-0 analytics does not enable advertising pixels, session replay, precise location reports, browser/device profiling, or a public analytics dashboard.

3. Contact messages

The public website form is temporarily unavailable. When you email [email protected], SmartShift processes your sender address, email headers, subject, message, and any attachment you deliberately include. Email-routing and mailbox providers process the message to deliver and store it.

SmartShift uses contact information to answer the message, investigate a correction, evaluate a topic, protect the service, and keep a necessary record of the exchange. Sending a question does not create a consulting, employment, legal, or other professional relationship.

4. Newsletter subscriptions

Where SmartShift displays a newsletter form, submitting it sends the email address and related subscription data to Beehiiv, the newsletter service provider. Beehiiv processes that data to manage subscription, confirmation, delivery, unsubscribe, and aggregate acquisition reporting. Use the unsubscribe link in a newsletter to stop future messages.

A newsletter form is not consent to unrelated advertising or to sell your email address. SmartShift will revisit this notice before adding a materially different newsletter or marketing workflow.

5. Cookies and consent

SmartShift’s Koko Analytics configuration does not set an analytics cookie. The public site may still use strictly necessary WordPress, administrator, or Cloudflare security cookies when required for authentication, abuse prevention, or service delivery. A third-party destination you deliberately visit may apply its own notice and settings.

SmartShift will review consent requirements before adding advertising cookies, cross-site identifiers, audience profiling, session replay, or another non-essential tracking technology.

6. Retention and protection

  • Koko aggregate analytics is automatically pruned after six months.
  • Koko cookieless fingerprint material is temporary and cleared daily.
  • Contact messages are normally retained only while needed to answer, investigate, follow up, maintain a necessary record, or meet a security/legal obligation. The operational target is deletion within 12 months after the matter is closed unless a longer period is justified.
  • Newsletter subscription data remains with Beehiiv until unsubscribe/deletion or another valid retention need applies.
  • Infrastructure and security logs follow the current host and Cloudflare security/operational settings.

SmartShift limits access to people and providers who need the data for these purposes and uses reasonable technical and organizational safeguards. No online system can promise absolute security.

7. Access, correction, deletion, and complaints

You may ask what personal information SmartShift holds about you, request correction of inaccurate data, request deletion where applicable, or object to a use. Email [email protected] with enough context to locate the relevant message or subscription. SmartShift may need to verify the requester without collecting unnecessary identity data.

You may also unsubscribe directly from newsletters. Depending on where you are and the applicable law, you may have additional rights or a right to complain to the relevant privacy regulator.

8. International providers and external links

Cloudflare, Beehiiv, email-routing and mailbox providers, and infrastructure providers may process data outside the Philippines under their own service, security, and legal arrangements. SmartShift links to external sites for sources and tools; their privacy practices are their responsibility.

9. Children and sensitive information

SmartShift is not directed at children and does not knowingly request children’s personal information. Do not email passwords, authentication codes, payment-card details, government identifiers, medical records, or confidential client/employer data.

10. Changes to this notice

SmartShift will update the effective date and explain material changes when the site’s forms, providers, tracking, revenue model, or data practices change.
